Part-Time Project & Business Development Coordinator

RemotePart-Time10–20 hrs/week

We are a small but growing performance-marketing / software company with a lean team. We are looking for a reliable, detail-oriented part-time coordinator to help keep the company running smoothly. This role blends project management, client outreach, and executive support — you’ll run our meetings, keep tasks moving forward, and help with new-business follow-ups.

What you’ll do

Project & Meeting Management

  • Run weekly team meetings: create agendas, document decisions, assign tasks, and follow up.
  • Ensure our task-management system (Teamwork) stays current and projects move forward.
  • Spot blockers or inefficiencies early and propose solutions.

Business Development & Client Outreach

  • Manage and update our CRM (Pipedrive) with accuracy.
  • Reach out to new prospective clients, follow up consistently, and ensure no lead goes cold.
  • Be proactive in client communication: anticipate needs, follow up before being asked, and flag opportunities.

Operational Excellence

  • Take ownership of deadlines, deliverables, and priorities.
  • Proactively recommend improvements to processes, workflows, and client management.
  • Ensure nothing falls through the cracks — keep both the CEO and engineer accountable.

Strategic Support

  • Act as the CEO’s partner in execution: prioritize tasks, highlight risks, and keep him informed.
  • Conduct research to support decision-making (market trends, tools, client background).
  • Handle miscellaneous executive / admin tasks as needed.

What we’re looking for

  • Proven experience in project coordination, business development, or virtual executive support.
  • Strong problem-solving skills — not just a doer but a thinker who improves how things are done.
  • Excellent written and verbal English communication.
  • Highly organized, detail-oriented, and able to hold others accountable.
  • Experience with Pipedrive, Teamwork (or similar CRMs and task managers).
  • Comfortable working independently in a small, fast-moving team.
  • Proactive, resourceful, and eager to grow with the business.

Compensation

  • Performance-based bonuses for exceeding expectations and contributing to company growth.
